BECOME AN EXECUTIVE ASSISTANT

We are hiring 4 executive assistants.

We are hiring one Executive Assistant each for our President, VP Communications, VP External, and VP Programming. The responsibilities vary depending on the the portfolio the Exec Assistant will be working under, however the general responsibilities will remain the same.

The workload may also vary week-to-week, so there may be periods with little-to-no tasks and other times there’s quite a few. However, you will never be asked to take more than you manage, and there will always be a constant, direct line of communication with the Core Executive and President to ensure this. 

As this is a new position, you will also get to help solidify details of the role for future volunteers, making you an integral part of SciSoc. So you are encouraged and welcome to make this position your own!!

General Responsibilities*

  • Keeping track of all responsibilities and writing weekly, short (~100 words) reports

    • For review by the President and VP Internal

  • Checking the SciSoc Slack workspace regularly (at least every 48h)

  • Attending SciSoc trainings and meetings as they arise

  • Holding 2 hours of office hours per week in the Society Office (HP3413)

    • Office hours are very simple - you can do schoolwork, SciSoc work, or just relax when you’re not assisting students

Specific Responsibilities

Executive Assistant to
the President

  • Drafting and reviewing documents for use by the President (e.g., email drafts, logistics of Presidential projects)

  • Helping the President remain organized throughout the term (e.g., organize team members’ availabilities)

  • Assisting the President in brainstorming and executing Society initiatives (e.g., office supply rentals, SciSoc’s involvement in SciFrosh)

​Executive Assistant to the VP External

  • Drafting and reviewing documents for use by the VPE (e.g., email drafts, contracts, etc.)

  • Helping the VPE remain organized throughout the term (e.g., collect team members' availability for meetings, help organize random tasks, etc.)

  • Assisting the VPE and other External Peripheral Executives in brainstorming and executing Society initiatives (e.g., brainstorm sponsors, help organize merch, help find interviewees for the blog, etc.)

​Executive Assistant to the VP Communications

  • Drafting and reviewing documents for use by the VP Comms (e.g., social media guidelines, meeting agendas)

  • Helping the VP Comms remain organized throughout the term (e.g., help plan social media posting schedules, help update Comms Calendar)

  • Assisting the VP Comms and Comms Peripheral Executives in brainstorming and executing Society initiatives (e.g., promotion ideas, social media initiatives)

​Executive Assistant to the VP Programming

  • Drafting and reviewing documents for use by the VPP (e.g., email and contract drafts)

  • Helping the VPP remain organized throughout the term (e.g., zoom links and agendas, collect team members' availabilities for meetings and events)

  • Assisting the VPP and other Peripheral Executives in the portfolio in brainstorming and executing Society initiatives (e.g., event ideas, drafting event schedules, obtaining items for events, assisting in ordering prizes)
